We are seeking an energetic and detail-oriented Office Assistant to
join our Graphic Design and Marketing Department. As our Office
Assistant, you will be instrumental in ensuring a smoothly running
office environment, directly supporting the team’s needs. Your
multifaceted role will encompass administrative, logistical, and
coordinative tasks aimed at optimizing the department's
efficiency and workflow.
**Key Responsibilities:**
*Office Administration:*
- Facilitate the seamless operations of daily office tasks.
- Oversee office supply inventory and liaise with service providers
for timely management.
- Organize and maintain digital and physical records, documents,
and shared drives.
- Provide administrative support to both team members and
management as required.
*Team & Project Support:*
- Assist in the creation and preparation of presentations, reports,
and printed materials to a high standard.
- Support ongoing project coordination and follow-ups to ensure
milestones are met.
- Format documents and facilitate internal communications
efficiently.
*Reception & Guest Services:*
- Professionally greet and assist visitors.
- Manage bookings for meeting rooms and arrange hospitality
services.
*Event & Logistics Coordination:*
- Play a role in planning and organizing internal and external
events, including exhibitions and trade shows.
- Coordinate the logistics, materials, and documentation required
for successful events and meetings.
*Light Finance & HR Support:*
- Aid in invoice tracking, budgeting efforts, and administrative
filing.
- Provide support for HR-related tasks such as onboarding new
employees and maintaining accurate staff records when needed.
